AfriXplora Cancellation Policy

We understand that travel plans can change. Our cancellation policy is designed to provide clarity while taking into account the cancellation conditions imposed by accommodation providers, airlines, tour operators and other travel suppliers.

1. General Principle

Cancellation terms may vary depending on the travel product, supplier, destination, season and amount of notice provided.

The cancellation conditions applicable to your booking will be communicated to you before or at the time of confirmation where reasonably possible.

2. Cancellation by the Traveller

If you need to cancel your booking, please contact AfriXplora as soon as possible in writing.

The effective cancellation date will generally be the date on which we receive your cancellation request.

Cancellation charges may apply depending on:

  • The travel product booked.
  • The amount of notice provided.
  • Supplier cancellation conditions.
  • Accommodation cancellation terms.
  • Transport or airline conditions.
  • Non-refundable activity or event costs.
  • Special event or peak-season conditions.
  • Any services that have already been consumed.

3. Package-Specific Cancellation Terms

Where a package has specific cancellation terms, those terms take precedence over the general guidelines on this page to the extent permitted by applicable law.

For example, an individual package may state that a certain percentage of the booking price is payable as a cancellation charge if cancelled within a specified period before departure.

4. Illustrative Cancellation Schedule

Unless your booking confirmation states otherwise, the following schedule may be used as a general guide for standard AfriXplora packages:

Cancellation Notice Indicative Charge
More than 60 days before departure Supplier charges and applicable administration costs only, where reasonably applicable.
31–60 days before departure Up to 30% of the booking value, subject to supplier conditions.
15–30 days before departure Up to 50% of the booking value, subject to supplier conditions.
8–14 days before departure Up to 75% of the booking value, subject to supplier conditions.
7 days or less before departure Up to 100% where supplier charges and unrecoverable costs justify the charge.
These percentages are guidelines only. The actual cancellation charge applicable to a booking may differ where supplier conditions, special rates, peak-season restrictions or applicable law require a different outcome.

5. Deposits

Deposits may be used to secure accommodation, transport, activities or other travel services.

A deposit may be partially or fully non-refundable where the relevant supplier has already committed funds or imposed a non-refundable condition.

Any applicable non-refundable portion will be communicated as part of the booking terms where reasonably possible.

6. Instalment Payments and Travel Wallets

Where AfriXplora offers an instalment payment plan or Travel Wallet, amounts paid towards a trip remain subject to the cancellation conditions applicable to that trip.

A Travel Wallet balance does not automatically guarantee a refund in cash when a trip is cancelled.

Where appropriate, eligible refundable amounts may be returned to the customer's Travel Wallet or refunded using the original payment method, subject to applicable law and payment-provider requirements.

7. Non-Refundable Services

Certain services may be non-refundable once purchased or confirmed, including but not limited to:

  • Special event tickets
  • Selected flights and airfares
  • Promotional accommodation rates
  • Private transfers
  • Permits and park fees
  • Special activities
  • Concerts and entertainment bookings
  • Third-party services specifically identified as non-refundable

8. Cancellation by AfriXplora

AfriXplora may cancel or modify a travel arrangement where necessary because of circumstances including supplier failure, safety concerns, insufficient participation, operational requirements or events beyond our reasonable control.

Where AfriXplora cancels a confirmed booking, we will make reasonable efforts to provide an appropriate alternative or refund eligible amounts, subject to the applicable supplier terms and applicable law.

9. Force Majeure

Extraordinary circumstances such as natural disasters, flooding, severe weather, war, civil unrest, government restrictions, pandemics, strikes, airport closures or major transport disruptions may affect travel arrangements.

In such circumstances, refunds, credits or alternatives will depend on the amounts recovered from relevant suppliers and the applicable terms.

10. No-Show

If a traveller fails to arrive for a booked service without prior notice, the booking may be treated as a no-show.

No-show charges may apply and may result in the loss of amounts paid where permitted under the applicable supplier conditions.

11. Date Changes

Changing travel dates is not necessarily treated as a cancellation.

Where a date change is possible, it will be subject to availability, supplier conditions and any applicable fare or rate differences.

12. Refund Processing

Where a refund is approved, processing time may depend on the relevant supplier and payment provider.

AfriXplora will process eligible refunds as soon as reasonably practicable after the relevant funds have been received or the refund has been authorised.

13. Consumer Rights

Nothing in this Cancellation Policy is intended to remove or limit any consumer right that cannot lawfully be excluded or limited under applicable law.

Cancellation charges will be applied with regard to the nature of the service, the notice provided, supplier commitments and other relevant circumstances.
